Integration with your School MIS

One of the things our users have frequently requested is a more efficient way of integrating Affinity Elevate into their existing school MIS systems.

Affinity Elevate is designed primarily for the distribution of training, compliance content and policies to staff and, as such, requires staff names and email addresses to provide this service.

Adding staff data to the system is straightforward and can either be completed through manual entry or by importing a data file. However, we recognise that maintaining this data may require administration on the part of our users, such as remembering to add a new staff member or archive a colleague who is no longer with the school.

With the majority of schools now using some form of MIS, it makes a great deal of sense that Affinity Elevate integrates with these systems to further enhance the simplicity and time-saving benefits of the platform.

The Solution

We decided to partner with Wonde to implement MIS integration. Wonde is a highly regarded and trusted market leader in school data integration.

We use the Wonde service to integrate your school data into Affinity Elevate. Wonde works with the majority of MIS systems. You can view compatible systems in the Wonde FAQs.

How Does It Work?

The first thing to note is that we can only integrate with your data if you request and authorise us to do so.

If you already use Wonde, you'll know how simple the process is. Let us know you'd like to integrate Affinity Elevate with your MIS, we'll request access through Wonde, and they will then seek your authorisation.

If you are new to Wonde, the process is only slightly different. You'll need to install some software and complete some configuration within your school systems. Wonde's technical support team will guide you through the entire process.

What Data Does Affinity Elevate Use?

Wonde is a powerful platform capable of supporting a wide range of systems and services. However, Affinity Elevate only requires a limited amount of information:

  • Staff name
  • Staff email address
  • Staff role

That's It!

The data we collect is used exclusively to enable your school or trust to deliver training and compliance content to staff. We do not use this information for any other purpose and will never initiate unsolicited contact or communications.

When Do We Collect Your Data?

Once you have authorised access to your MIS data, Affinity Elevate will automatically collect the staff information listed above.

Thereafter, we will request updates to your data at least once every 24 hours. These updates allow us to identify:

  • New staff members added to your MIS
  • Changes to existing staff records, such as a name or email address change
  • Staff who have left the organisation

What Do We Do with the Updates?

We consider your MIS data to be the source of truth and will update the system accordingly to keep records synchronised.

  • If a staff member's name or email address changes, we will automatically update it within Affinity Elevate. We do not retain previous versions of the data.
  • When a new staff member is added, we will create a user record and populate it with the relevant information.
  • When a staff member leaves the school, we will archive their record. Their training history and evidence remain available for audit and compliance purposes, but they will no longer be assigned training.
